Privacy Policy

This Privacy Policy explains how SnapSpend, operated by Ardenuity, Inc., collects, uses, stores, and protects information when you use the SnapSpend platform and related services.

Information we collect

We collect account details such as name, email address, optional mobile number, organization details, signup consent records, and communication preferences. We also process documents, receipts, invoices, metadata, extracted fields, usage records, logs, and support information you submit or generate while using SnapSpend.

How we use information

We use information to provide the Platform, authenticate users, create organizations, process receipts and invoices, perform OCR and AI extraction, generate reports, prevent fraud, monitor security, improve product quality, provide support, send operational notices, and send product updates or offers when you opt in.

Our role in processing your data

Where you access SnapSpend directly, Ardenuity, Inc. acts as the controller of your personal data and this Privacy Policy governs its processing. Where you access SnapSpend through an authorized reseller or distribution partner, the reseller acts as Data Controller and SnapSpend acts as Data Processor, processing personal data on the reseller’s documented instructions under the Data Processing Addendum governing that relationship.

AI and document processing

Uploaded documents and extracted data may be processed by SnapSpend systems and trusted third-party providers that support OCR, AI classification, parsing, storage, analytics, and infrastructure. SnapSpend does not use your uploaded documents or data to train its underlying AI models. Outputs can be inaccurate and should be reviewed by users before business, accounting, tax, or compliance use.

Sharing and third parties

We may share information with service providers that help operate SnapSpend, including hosting, authentication, storage, analytics, AI/OCR, communications, payments, and support vendors. We do not sell user documents. We may disclose information when required by law, to protect rights and security, or to enforce our terms.

Cross-border processing

Data may be processed or stored using infrastructure located outside the Philippines, including cloud hosting and AI service providers. SnapSpend implements safeguards consistent with the Data Privacy Act of 2012 (RA 10173) for any such transfer, including contractual commitments from providers that process data on our behalf.

Retention and deletion

We retain information for as long as needed to operate the Platform, provide support, comply with legal and accounting obligations, resolve disputes, prevent fraud, maintain backups, and preserve security. Deletion requests may remain subject to legal, regulatory, accounting, tax, fraud prevention, security, backup, and archival obligations.

Security

SnapSpend uses commercially reasonable administrative, technical, and organizational safeguards to protect user data, including encryption in transit, access controls, and monitoring for unauthorized access. No system, platform, or transmission method can guarantee absolute security.

Security incident notification

If we become aware of a security incident involving your personal data, we will notify affected users without undue delay, describing the nature of the incident, the categories of data affected, and the mitigation steps taken. Where required, we will also notify the National Privacy Commission in accordance with applicable law.

Your rights

Under the Data Privacy Act of 2012 (RA 10173), you have the right to be informed about how your personal data is processed, to access and obtain a copy of your personal data, to correct inaccurate or outdated information, to object to processing, to request erasure or blocking of data no longer necessary for the purposes it was collected, to data portability, and to lodge a complaint with the National Privacy Commission. Your choices

You may choose not to provide optional information such as a mobile number. You may opt out of product updates and offers where supported. Operational, security, billing, and service-related notices may still be sent when necessary.

Philippine data privacy

SnapSpend complies with applicable Philippine data privacy laws, including Republic Act No. 10173, the Data Privacy Act of 2012.
